Job Description:

We are seeking a highly organized, detail-oriented, and proactive Office Administrator to manage and oversee the daily operations of our office. As an Office Administrator, you will play a key role in maintaining office efficiency, supporting staff, managing office supplies, and ensuring smooth communication between departments. The ideal candidate will possess strong multitasking abilities, excellent communication skills, and a positive, team-oriented attitude.


Key Responsibilities:

  • Office Management:
    • Manage day-to-day office operations, ensuring the office runs smoothly and efficiently.
    • Organize office layout and maintain office equipment, making sure everything is in working condition.
    • Coordinate office activities and schedules, ensuring that deadlines and tasks are met.
  • Administrative Support:
    • Provide administrative support to staff, including scheduling meetings, handling phone calls, and organizing paperwork.
    • Draft and proofread emails, letters, reports, and other documents as needed.
    • Handle correspondence, including emails, phone calls, and postal mail.
  • Inventory & Supplies Management:
    • Maintain office supplies inventory and reorder supplies as necessary to keep the office fully stocked.
    • Ensure that office equipment (printers, computers, phones) is well-maintained and serviced as needed.
  • Data Entry & Record Keeping:
    • Maintain organized filing systems and digital records.
    • Input and update data into internal systems and ensure accuracy in all records.
  • Team Coordination:
    • Act as a liaison between management, staff, and external vendors, fostering effective communication and collaboration.
    • Assist in organizing team events, conferences, or meetings as required.
  • Financial Support:
    • Assist with invoicing, tracking expenses, and processing payments.
    • Manage petty cash and handle basic bookkeeping tasks when necessary.
  • Customer & Client Relations:
    • Greet visitors, clients, and vendors, ensuring a professional and welcoming environment.
    • Handle inquiries from clients, customers, and stakeholders promptly and professionally.
  • Health & Safety Compliance:
    • Ensure that the office environment is clean, safe, and compliant with all health and safety regulations.
    • Keep track of safety protocols and maintain health and safety documentation.

Requirements:

  • Experience:
    • Proven experience as an Office Administrator, Office Assistant, or in a similar administrative role.
  • Organizational Skills:
    • Exceptional organizational skills and the ability to manage multiple tasks and priorities simultaneously.
  • Communication Skills:
    • Excellent verbal and written communication skills, with a professional and friendly demeanor.
  • Problem-Solving Skills:
    • Strong ability to identify problems and offer efficient solutions.
  • Tech-Savvy:
    • Proficiency with office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (copiers, fax machines, etc.).
    • Experience with office management software (e.g., CRM systems, Google Workspace, etc.) is a plus.
  • Attention to Detail:
    • A high level of attention to detail and accuracy in all tasks and documentation.
  • Preferred Qualifications:
    • High school diploma or equivalent; a degree in business administration or a related field is a plus.
    • Experience in bookkeeping or basic financial record-keeping is a plus.
